Under the overall authority of Director, UNESCO Regional Office in Jakarta, and direct supervision of the
Chief of Education, the incumbent shall provide administrative and logistics support to the Education
Team in Dili. The incumbent shall perform the following tasks:

MAIN DUTIES AND RESPONSIBILITIES:

• Complete administrative and support activities and processes associated with the making of travel arrangements, the contracting of services and purchase of goods, the completing of various forms, the researching, retrieving, and maintaining accurate data and transaction.
• Track and report on project activities; prepare budgetary data/ information from current of past initiatives.
• Prepare a variety of administrative documentation using examples or templates provided by supervisor: initiate administrative procedures and ensure follow-up.
• Assist in organizing official meetings, events and workshops by booking venues, equipment and providing other related logistical support.
• Receive, analyze, sort, register, file and distribute correspondence and documents.
• Respond to enquiries and follow up on routine outstanding matters.
• Additional tasks maybe assigned, provided they are consisten with the functions set out above

EDUCATION

Completed secondary, technical or vocational school education.

WORK EXPERIENCE

• Minimum three (3) years relevant practical administrative support in project management, preferably in humanitarian development.
• Knowledge of general office and administrative support including administrative policies, processes and procedures.
• Proven experience in providing administrative support for event organization (off-line and online), procurement, travel arrangement, budgetary expenses tracking/verification, etc.
• General clerical and administration support.

LANGUAGES

Good knowledge (spoken and written) of English language.

EDUCATION

Bachelor’s Degree in Administration, Education, Social Human Sciences or Communication.

Monthly salary USD 941.46 (Inclusive of Social Benefits). Medical Insurance & Pension benefits included in gross amount quoted above. Other benefits include 30 days’ annual leave.
